1. Application of Terms and Conditions.

The following terms and conditions govern the relationship between the client and Hant Kilimanjaro Quests (referred to as "the company") in the following scenarios:

  • When booking a trip directly with us.
  • When booking through our partners, serving as our sales representatives.

Both parties agree to these terms and conditions when booking directly or through our partners, including various travel agencies and marketplaces. Note: These terms outline the rights and responsibilities during the booking and participation in our tours in Tanzania.



2. Our Warranties and Representations.

We assure and affirm that:

  • We possess all necessary licenses and permits for Kilimanjaro climbing expeditions and wildlife safaris
  • With over a decade of experience, we've arranged tours for over 10,000 visitors.
  • Our Kilimanjaro guides, wildlife safari driver-guides, and consultants undergo professional training.
  • We ensure accuracy in our marketing materials, avoiding exaggeration or misrepresentation.
  • We operate solely as a tour operator, with exceptions for certain accommodations and air travel services.


3. Community Impact

At Hant Kilimanjaro Quests, we are committed to positively impacting Tanzanian communities through fair wages and support for development projects.



4. Environmental Commitment

We adhere to strict protocols for sustainable tourism to preserve Tanzania's natural heritage.



5. Personal Information Handling.

To facilitate your expedition arrangements, we will request specific personal details, including your full name, age, nationality, passport information, diet, and medical particulars. Some information may be shared with relevant authorities for entry permits and accommodation providers.

7. Participation of Minors.

  • Only individuals of legal age (18 years or older) can book with us.
  • Bookings for minors require approval, and accompanying adults assume responsibility.


8. Third-Party Bookings (Tour Leaders, Travel Agencies)

If making a booking on behalf of others, you are responsible for:

  • Informing participants of these terms and conditions.
  • Timely and accurate payments.
  • Providing relevant information and securing consent for changes.


9. Prices

Once your booking is confirmed, the price remains unchanged, barring government-mandated fee increases. Options are provided in case of price adjustments.



10. Changes to Itinerary

  • Client-initiated changes are free if they don't incur extra costs for the company.
  • Discontinuation of the tour by the client may result in covering additional costs.
  • Company-initiated changes are rare, but clients will be promptly informed.
  • Changes due to third-party actions are beyond the company's liability; associated expenses are the client's responsibility.


11. Changes to Travel Dates.

Inform us of date changes at least 60 days before the original start date. Consider potential penalties and higher accommodation costs.



12. Travel Documents, Visa, and Entry to Tanzania.

  • Ensure all travel documents are valid.
  • Obtain a visa for Tanzania, and follow Tanzania Immigration Department guidelines.
  • The client bears all visa and entry-related costs.
  • The company is not liable if entry is denied, with no refunds or rescheduling.


Accommodation.

  • Hotels: Open group prices include sharing basis; single supplements available. Private adventures' accommodations tailored with consultants. Notification provided for alternative hotels if necessary.
  • Tented accommodation on Kilimanjaro: Sharing basis; single supplements available. Regulations may limit single tented accommodation on specific routes.


13. Fitness and Medical Information.

  • Clients must assess their fitness and health for the expedition.
  • Submission of medical information is mandatory.
  • The company may decline participation based on medical conditions.
  • Special requirements must be communicated 30 days before arrival.


14. Travel Insurance

  • Mandatory for participation; disqualification without proper insurance.
  • Ensure coverage for medical expenses, evacuation, cancellation, and other relevant risks.


15. Vaccinations.

  • Seek professional advice for required vaccinations.
  • The company provides general advice; consult a licensed physician for specific needs.


16. Authority of Our Guides.

  • Mandatory to follow safety instructions and guide rules.
  • Chief guide's decisions during Kilimanjaro trek are final.


17. Acceptance of Risks.

  • Acknowledge and assume all risks inherent in Tanzania travels.
  • Release the company from claims arising from such risks.


18. Liability for Damaged or Destroyed Property.

  • Client liable for willful destruction or damage of company property.
  • Settlement in Tanzania before departure.


19. Our Liability for Accommodation Providers and Air Partners.

  • Limited liability for the performance of third-party providers.
  • Client bears regular travel expenses; not responsible for failure to cover.


20. Equipment and Gear for Kilimanjaro Climbs.

  • Group camping equipment included; personal gear not.
  • Hire personal gear at an additional cost; new equipment provided.
  • Inspection of personal equipment may be required before the tour.


21. Luggage and Valuables.

  • No responsibility for lost, destroyed, or delayed luggage by third-party providers.
  • Free provision of hired climbing gear if luggage is lost or delayed.


22. Images and Marketing.

  • Consent for the use of photos and videos for marketing without royalty.
  • By taking part in our adventures, you agree that we and our partners may use this media material for marketing, promotion, and advertising without any royalty and other payments to you. Please inform our staff if you do not want your image to be captured with any photo or video cameras.


23. Force Majeure.

  • No liability for situations beyond reasonable control.


24. Laws of Tanzania

  • Tanzanian laws apply in case of disputes.
